Use this AI SOP writing workflow to turn messy process knowledge into a practical standard operating procedure with clear steps, ownership, QA checks, and exception handling.

Most SOP projects fail before the writing starts. Teams begin with a blank document, describe an idealized process, and skip the exceptions that make the work difficult in the real world. The finished document reads well but does not help a new owner complete the task.

A better approach is to capture the current process first, then use AI to shape it into a usable draft. The operator validates the details, identifies decisions, and owns the final standard. AI speeds up structure, clarity, and revision without pretending it knows your business.

Step 1

Set a narrow process boundary

Document one outcome from one trigger to one handoff. “Client delivery” is too broad; “prepare the kickoff packet after contract signature” is specific enough to standardize.

Step 2

Capture the real sequence from the operator

Collect screenshots, examples, decisions, tools, and the shortcuts experienced people use. The best source is usually a person who ran the process this week.

Step 3

Write steps that can be checked

Use a verb, a tool or location, and an observable completion condition in every step. This turns “follow up with the client” into an action someone else can run.

Step 4

Add exceptions before approval

State the common deviations, escalation owner, and decision rule. An SOP becomes useful when it explains what to do when the normal path breaks.
